Equipment Labeling: What Data Must Legally Appear on Your Switchgear

Picture this: an OSHA inspector walks onto your floor unannounced, clipboard in hand, and stops in front of your main switchgear. She looks for the arc flash label. It's there — but the ink has faded to a ghost of itself, the voltage rating is for equipment that was swapped out three years ago, and there's no date on the engineering study. In that moment, a routine walkthrough becomes a citation, a stop-work order, or worse. If a technician opens that panel before the label gets fixed, "worse" can mean a burn injury that changes a life. This is the scenario that keeps plant managers up at night, and it's more common than most facilities want to admit.
The root problem isn't usually neglect — it's drift. Labels get printed once, during commissioning, and then the facility keeps evolving around them. Transformers get upgraded, breakers get replaced, loads shift, and nobody circles back to the label. What was accurate on day one quietly becomes wrong, and a wrong label is arguably more dangerous than no label at all, because it gives workers false confidence. The good news is that equipment labeling isn't a mystery. It's governed by clear, well-established codes, and getting it right is one of the highest-leverage safety investments a facility can make — it costs far less than a single incident, a single fine, or a single lost workday.
Before diving into the checklist, it's worth understanding why this isn't optional. Three authorities anchor the requirement. NFPA 70 (the National Electrical Code) sets the baseline: Article 110.21 requires manufacturer identification on equipment, and Article 110.16 mandates arc flash hazard warning labels on service equipment likely to require examination while energized. OSHA 29 CFR 1910.303 turns much of this into enforceable federal law, giving inspectors real teeth. And NFPA 70E governs the safe work practices side — how that labeled information actually gets used by workers in the field, from PPE selection to boundary distances. Together, these three form a system: the NEC tells you what has to be on the label, OSHA enforces it, and 70E tells your crew what to do with it. Treating any one of them as optional is treating the whole system as optional.
So what actually has to be on the label? Start with the general equipment data required under NEC 110.21. Every piece of switchgear needs the manufacturer's name or trademark, the nominal voltage rating, the current rating of the busbars and main breakers, the frequency and phase configuration (typically 60 Hz, 3-phase, 4-wire), and the short-circuit current rating — the maximum fault current the equipment can withstand without failing catastrophically. This data tells anyone working on the panel exactly what they're dealing with before they ever open a door.
Layered on top of that is the arc flash warning label required by NEC 110.16 and NFPA 70E. This label needs the nominal system voltage and the arc flash boundary — the distance at which an unprotected worker could sustain a second-degree burn. It also needs at least one of three things: the available incident energy in cal/cm² at a standard 18-inch working distance, the minimum arc rating of clothing required, or a site-specific list of required PPE. And critically, it needs a date. Arc flash studies aren't permanent; they must be revisited whenever a major system modification happens, and at an absolute minimum, every five years. A label without a date is a label an inspector can't verify — and one your own team can't trust.
After three decades around switchgear rooms, a few mistakes show up again and again, and they're worth calling out by name. The first is what I call the "legacy trap" — a facility upgrades an upstream transformer or reconfigures its distribution, and the old arc flash label stays put because nobody connected the dots between the electrical change and the paperwork. The fault current data on that label is now fiction, and fiction is a poor guide for choosing PPE. The second is illegible printing. Cheap thermal labels look great on install day and then bake under industrial heat and lighting until the text fades to blank white — effectively an unlabeled panel with extra steps. The third is the missing date stamp, which sounds minor until an inspector asks how you know the study is still valid and nobody can answer.
None of this requires a massive overhaul to fix — it requires a walk-through and a bit of follow-up. Start by grabbing a camera and physically auditing three random pieces of critical switchgear this week. Don't sample from memory; walk the floor and look. Next, track down your facility's most recent Arc Flash Assessment or Power System Study and check the date against that five-year clock — if it's aging out, or you can't find it at all, that's your answer right there. Finally, if what you find is missing, faded, or outdated, bring in a qualified engineering firm to run a current study and reprint labels that will actually survive your environment.
Compliance labeling has a reputation for being tedious paperwork, but that framing undersells what it actually does. A correct label is a piece of life-safety equipment in its own right — it's the difference between a technician reaching for the right gloves and a technician guessing. It's also one of the cheapest insurance policies available to a facility: an afternoon of auditing against the cost of a citation, a shutdown, or an injury isn't a close comparison. The facilities that treat labeling as a living document — reviewed on a schedule, updated with every electrical change — are the ones that pass audits without drama and, more importantly, send their people home every day.
If your last honest look at your switchgear labels was during commissioning, it's time for another one. The codes aren't going to soften, the fault currents in your system aren't going to shrink on their own, and the five-year clock doesn't pause because things have been busy. Walk the floor, check the dates, and if something looks off, get it fixed before an inspector — or worse, an incident — finds it first.
